accounting 15%

- preparation of bank reconciliation, agent commissions reports

- preparation of weekly payment report to dallas

- preparation of payment vouchers for approved wire payments and direct debits

- review credit memos, debit memos and tax credits

- review and approval of business expense claim reports from employees

- ensure meeting company sga’s plan numbers

- administering month end activities to close month end accounts

accounts receivables 50%

- managing the dso and aging of account receivables to reduce credit hold situations

- review credit limits requirements for existing and new customers

- review and assist with csrs on dispute resolutions on billings

- ensure all payment applications are properly applied by dallas ar team to ensure correct soas are given to customers.

-trade references requests

accounts payable 4%

- procurement and approval of purchases of non-inventory supplies

- handling the payments of hong kong payroll, office and administration expenses

- handling the payments of beijing and shanghai payroll, office and administration expenses

compliance 7%

- help with statutory audit

- managing the external and internal financial audit queries and resolutions

- go for zero and iif by having safety walks

- process manager of competence and training of hong kong quality management system

- review and updates of policies and procedures (desktop procedures)

taxation 2%

- beijing and shanghai quarterly and annual tax reporting and payments

human resource 10%

- review of vacation schedules of employees

- administer payroll process (approval of overtime and employee commissions program)

- manage the employer's return of remuneration and pensions

- manage the group benefits and employees' compensation insurance policies

- manage the employees pensions schemes, and prepare monthly statements and payments.

- assist in submission of medical insurance claims by employees with insurer.

- first point of contact for any related hr activities for employees

information technology 2%

- assist dallas it to ensure the hong kong based server and related equipment such as cisco phone system, internet, lan ports etc.

- manage company assets such as office/computer equipment such copiers, mobile phones, ipads, broadband internet and fixed line.

operations 10%

- review and process agent commissions

- review on maintenance contracts for air-conditioning, copiers, payroll, bottled water, electrical works etc.

- preparation of letter of credit submissions and resolutions on discrepancies

- any other matters related to office administration
