Boeing Canada Operations Ltd. is seeking a Program Operations Support Specialist, supporting the MHLH Sr Program Manager and the Regional Manager for BGS Canada and Latin America, working out of the Ottawa office.

This role is critical in ensuring smooth business operations, effective communication, and compliance with company policies and procedures. Reporting to the MHLH Sr Program Manager key responsibilities include:

Position Responsibilities:

  • Travel and Expense Management:
    Coordinate and process travel arrangements and logistics, generate expense reports, and assist in reconciling corporate credit card charges. Collect and compile travel data to provide visibility and status updates for traveler review and approval.

  • Communication and Correspondence:
    Create, edit, and maintain electronic and written communications. Manage incoming and outgoing correspondence efficiently to support business needs.

  • Scheduling and Event Coordination:
    Coordinate schedules, prioritize appointments, and plan logistics for meetings and events to ensure seamless execution.

  • Meeting and Program Operations Support:
    Support program operations by preparing meeting agendas, collecting and distributing meeting minutes, and aiding the Program Manager with action item tracking. Assist in creating presentation content using MS PowerPoint to support program communications and reporting.

  • Team Merchandise Management:
    Order and maintain supplies of branded merchandise for the program to support new and existing team members.

  • Business Support and Operations Management:
    Perform system administration and management across multiple program-specific applications including access, storage and content management. Additionally support delegated business functions, as required, including Enterprise Services, Site Services, Finance & Business, Security & EHS.

  • HR Process Implementation:
    Support HR processes for local employees, including on-boarding, leave services, and employment termination. Provide guidance and assistance to program personnel on routine issues or concerns.

  • Procurement Support:
    Support office and program miscellaneous procurement including travel, events, team activities merchandise and office items.

Basic Qualifications (Required Skills/Experience):

  • Proven experience in office administration, business support, or related roles.

  • Excellent communication skills, both written and verbal.

  • Ability to manage confidential information with discretion.

  • Experience with travel coordination, expense reporting, and corporate credit card reconciliation.

  • Familiarity with HR processes and employee support is a plus.

  • Knowledge of facility management and compliance requirements are preferred.

  • Proficiency in Microsoft Office Suite, especially MS PowerPoint, and relevant business software.

  • Must be legally able to work in Canada.

  • Ability to travel within Canada and the USA as required.

  • Must consent to Canadian Government Controlled Goods Program (CGP) assessment.

  • Must be eligible for Secret Level II security clearance.

  • Individuals must not pose a risk for safeguarding of controlled goods.

Preferred Qualifications (Education/Experience):

  • Active Secret Level II.

  • General Aviation or Aerospace interest, Pilot License or flying experience.

  • Strong organizational and multitasking skills with attention to detail.

Additional Information:

This requisition is for a locally hired position in Canada. The employer is Boeing Canada.  Candidates must be legally authorized to work in Canada. Benefits and pay are determined by Canada and are not on Boeing US-based payroll. This is not an expatriate assignment.
